Safety Program Administrator

 

Clean Air Engineering (CleanAir), a global provider of services and products used to determine the environmental and thermal performance of a multitude of industries, is seeking a safety professional to lead its corporate safety program.

Position Summary:
The Safety Program Administrator supports CleanAir’s corporate safety program by managing administrative functions essential to compliance, training, and contractor oversight. This role ensures the effective day-to-day operation of safety systems, including incident documentation, employee training tracking, contractor qualification platforms, and procedural documentation. The role requires both familiarity with basic industrial safety principles as well as strong organizational and communication skills.

Key Responsibilities:

  • Incident Recordkeeping:
    • Maintain accurate and confidential records of workplace incidents, near misses, and corrective actions.
    • Ensure timely entry and proper formatting of OSHA and internal documentation (e.g., 300 logs, root cause reports).
  • Contractor Safety System Management:
    • Administer third-party contractor compliance platforms (e.g., Avetta, ISNetworld, Veriforce, etc.)
    • Coordinate with client safety contacts and ensure up-to-date safety documentation and qualification status.
  • Training Coordination:
    • Track employee safety training requirements, expirations, and completions.
    • Schedule training sessions (in-person or online) and maintain training content libraries.
    • Administer or coordinate with third-party trainers.
  • Procedure & Document Control:
    • Assist in updating written safety policies and procedures.
    • Maintain document version control and coordinate internal file management and distribution.
  • Compliance Support:
    • Help prepare for audits, inspections, and internal reviews.
    • Track and follow up on corrective actions and compliance deadlines.
  • Communication & Reporting:
    • Maintain internal digital bulletin board for communicating corporate safety information.
    • Prepare routine safety reports and summaries for internal stakeholders.
    • Support communication of safety alerts, bulletins, and updates.

Qualifications:

  • Education:
    • Associate’s degree in Occupational Safety, Business Administration, or a related field (or equivalent experience).
    • Bachelor’s degree preferred but not required.
  • Experience:
    • 2 years in an administrative or coordinator role, preferably within a safety, environmental, or compliance function.
    • Familiarity with industrial/construction safety programs, OSHA standards, and contractor management platforms.
  • Skills & Competencies:
    • Strong organizational and recordkeeping skills.
    • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
    • Experience with safety platforms (Avetta, ISNet, etc.) preferred.
    • Ability to communicate clearly with internal teams and external clients and vendors.
    • High attention to detail and ability to manage multiple priorities.

Work Environment:

  • Primarily home office-based with occasional overnight visits to other company facilities.
  • May require limited travel to support audits, training sessions, or safety program rollouts.
